How to Customize Your PDF Invoice Layout

MobileBiz Pro gives you full control over what appears on your PDF invoices, quotes, and other documents. The fastest way to customize is directly from a transaction's Print Preview.

How to Get There

  1. Open any invoice (or quote, cash sale, or sales order) and tap the Edit icon (pencil) in the action bar.

  2. Tap Print Preview — a full preview of the PDF appears, showing exactly how the document will look.

  3. Tap Customize at the bottom of the preview screen to open the template editor.

What You Can Customize

The template editor is organized into sections. Tap any section to expand it and change its settings. After making changes, tap the Preview (eye) icon to see the update immediately, then tap Save (disk) to keep it.

Page & Style

Page size (A4, Letter, Legal), orientation (Portrait/Landscape), page margins, theme color, and font size.

Header

Company logo, company name, and address layout in the document header.

Customer Info

Bill To section (billing address) and Ship To section (shipping address).

Transaction Info

Transaction details layout — dates, status, terms, and other header fields.

Table Columns

Line item column headers and data — change which columns appear and what each shows. Use the Tags button to see available data placeholders.

Totals

Which total rows appear (subtotal, tax, discount, shipping, total, balance, and more) and their labels.

Additional Info

Payment details section and Other Information section.

Signature

Signature section on the PDF.

Notes to Customer

Notes section content and visibility.

Footer

Footer text and content.

Watermarks

Status-based watermarks (e.g., "PAID", "VOID") that stamp the document based on transaction status.


Good to Know

  • Template settings apply per transaction type — you can configure invoices differently from quotes or sales orders.
  • All template settings are saved per company, so each company you manage can have its own layout.
  • To change your company name, logo, or address on PDFs, go to Settings > Company name & address and Settings > Company logo.
  • Tap the Tags button inside any section to see placeholder codes (like {CUSTOMER.NAME}) you can paste into labels and content fields.
