How to Add Photos to Invoices

Attach photos to any invoice or estimate — useful for documenting job site work, before/after shots, or product images. Photos you add are synced to MobileBiz cloud so they appear in your PDF documents.

What You'll Need

Before you start: This is a Plus feature with a free trial available. If you haven't subscribed yet, you can start your trial the first time you open the Photos tab on an invoice.

Steps

  1. Open an invoice or estimate from the Sales screen.

  2. Tap the Photos tab on the invoice. If this is your first time, you'll see an option to start your free trial — tap it to continue.

  3. Tap the add button (camera icon) to add a photo.

  4. Choose your source:

    • Camera — take a new photo on the spot
    • Gallery — pick an existing photo from your device
  5. Your photo appears as a thumbnail on the Photos tab. The photo is uploaded to MobileBiz cloud in the background.

  6. Generate or send the PDF — photos are included automatically once they've synced to cloud. You'll see a small cloud badge on each photo when it's ready.


Viewing and Managing Photos

  • Tap a photo to view it full-screen. Pinch to zoom.
  • Tap the edit icon on a photo to delete it or view details.
  • Add multiple photos — repeat the add step for each one.

Good to Know

  • You can attach up to 30 photos per invoice, estimate, or cash sale. This is separate from the PDF limit — only photos marked "Include in PDF" appear in the document, up to 10.
  • Photos must finish syncing to cloud before they appear in your PDF. If a photo shows without a cloud badge, wait a moment and try generating the PDF again.
  • If a photo couldn't sync (for example, due to a network issue), you'll see a warning when emailing the PDF. Retry once your connection is restored.
  • Photos are linked to the specific invoice — they don't automatically appear on other transactions.
  • All photos remain visible even if your Plus subscription ends. You just won't be able to add new ones without an active subscription.
