MobileBiz Pro has a wide range of customization options, from how your invoice PDFs look to the fields you see when entering data. Here is everything you can change.
PDF Invoice Layout
Control exactly what appears on your printed invoices, quotes, sales orders, and cash sales.
The template editor is a list of sections. Tap any one to change that part of the document.
| Section | What You Can Change |
|---|---|
| Page & Style | Page size, orientation, margins, theme colour, and font sizes |
| Header | Logo, company name, and the company details block |
| Customer Info | The Bill To and Ship To labels and what they print |
| Transaction Info | The document title and the details printed beside it |
| Details Bar | The details bar printed above the line items (great for project details or supplemental data) |
| Line Items | Which columns appear in the line items table, plus their headers, order, and alignment |
| Totals | Show, hide, or rename each row in the totals section (subtotal, tax, shipping, balance, etc.) |
| Additional Info | The Payment Details and Other Info blocks |
| Signature | Signature block, its size, and the agreement text |
| Notes to Customer, Photos, Footer | Customer notes, photo layout, and footer text |
| Watermarks | Status-based text watermarks like "PAID" or "VOID" |
Access these from any invoice: tap Send in the bottom bar, then Modify templates > Print template. To start from a different layout, tap the ⋮ menu in the editor and choose Switch Template.
Purchase orders and vendor bills print through the same template system, but they don't have an editor of their own.

Email and SMS Templates
Write the messages that get sent when you email or text a transaction to a customer. Use placeholder tags like {CUSTOMER.NAME} and {TNX.TOTAL} to insert live data automatically.
- Email templates — subject line, body, CC/BCC, and HTML formatting
- SMS templates — message text with the same tag support
Reach these from Settings > Invoicing & documents > Email & SMS templates.
Custom Fields
Add your own data fields to any part of the app to track information specific to your business.
| Field Type | Adds Fields To |
|---|---|
| Entity Fields | Customers |
| Item Fields | Products and services |
| Body Fields | Invoice and transaction headers |
| Column Fields | Individual line items on transactions |
| Project Fields | Projects |
| Company Fields | Company settings |
Field types include text, number, currency, checkbox, date, phone, email, URL, and barcode. Once created, custom fields appear on the relevant edit screens and their values can be shown on PDFs using template tags.
Reach these from Settings > Lists & customization > Custom fields.
Transaction Numbers
Change how invoice numbers, quote numbers, and other transaction numbers are formatted — add a prefix, suffix, or reset the sequence. Go to Settings > Invoicing & documents > Transaction numbering.
Print Date Formats
Override the date format used on printouts independently from the app date format. Go to Settings > Invoicing & documents > Print labels & dates.
Projects on PDFs
Enable the Projects feature to assign jobs to transactions, then use the Details Bar section to print project names on PDFs.
See How to Show Project Names on Invoices.
Good to Know
